    Add Batch Release

    Add Batch Release functionality

Dynamics SL users are accustomed to processing data entry in batches, with multiple documents per batch. Users were then able to reference the batch for later review, based on the batch and reference numbers of the documents in the batch.

The batch concept is present in Business Central D365 General Journal. The user may create multiple journal entries within the batch. Creating a personal batch with a related number series in Business Central provides the user with a similar experience of processing transactions in a secluded batch, specific to a user ID. The user may review the entries later in the G/L Register by searching by user ID, source no., creation date, etc. Dynamics D365 Business Central allows you to post in batches, and the SL Overlay adds the ability for documents to be released in batches without posting. This facilitates separation of duties and then allows other users with different access rights to post the released batches.

Documents created in Business Central D365 are stored on a list page that commingles all documents prepared by all users in the list. Each document is created individually. There is a process on the list page to post a batch of documents which allows the user to filter on documents and post those ready to be posted at once, but does not allow a user to only release batches without posting, or post only the batches they themselves created.

Add Created By User ID fields

To provide the user a list view of only the documents created by the user, as they would experience in a Dynamics SL batch. The Batch Fields enhancement filters the list page by a new field on the Document header called Created By User Id so it will display only the user’s own documents.

The Created By User ID field automatically populates with the currently logged in user ID when the document is created to facilitate the personal list view. The user can clear the filter and filter on other criteria on the list page, but their main view upon opening the list page will be to only display their documents.

Purchase Orders and Sales Orders are required to be released to update items in Business Central. The order list pages will also be filtered using the currently logged in user's ID (Created by User ID).

    Adding Batch Release process

Currently you can only release documents one at a time. To allow for batch release processing, the SL Overlay adds a Release Batch process that allows the user to release several documents at the same time, as a batch.

Summary of Add Batch Fields enhancement

    1. A Created by User ID field is added to document headers when users create a new document from the Document List or from the Role Center.

    2. The Purchase Order Document List and Sales Invoice Document List are auto filtered by the Created by User ID of the currently logged in user, providing the user with a view of only the documents they created. If the user wants to filter results in the document list on other user ID's, they can modify filter to allow the user to select a different User ID.

    3. A Created by User ID field is added to multiple pages. This field populates with the User ID of the currently logged-in user when documents are created. The Created by User ID field is also available as a filter on these pages. Pages that include the new Created by User ID include:

      • Customer Ledger Entries
      • Vendor Ledger Entries
      • Purchase Quote
      • Purchase Order
      • Purchase Invoice
      • Purchase Credit Memo
      • Posted Purchase Invoice
      • Posted Purchase Credit Memo
      • Sales Quote
      • Sales Order
      • Sales Invoice
      • Sales Credit Memo
      • Posted Sales Credit Memo
      • G/L Register page
      • General Ledger Entries
    4. A new Release Batch process is added to release multiple Documents from the Purchase Order and Sales Invoice document list pages based on filters selected on an Option page. This functionality is like the Post Batch functionality except it allows you to release multiple documents at one time, like the batch release process functionality in Dynamics SL.
